    Sexual and Reproductive Health Program Assistant

    The Inter-Agency Working Group (IAWG) is a large coalition– representing UN, government, non-governmental, research, and donor organizations—that advances the sexual and reproductive health of people affected by conflict and natural disaster.  The IAWG was founded in 1995 and is a network of over 2,800 individual members representing 450 agencies worldwide.  The IAWG secretariat has been hosted at the Women’s Refugee Commission since 2013.  The secretariat sits within the sexual and reproductive health team at the WRC and also works closely with other WRC programs, including advocacy and communications departments.

    Overview

    The Program Assistant of the WRC’s Sexual and Reproductive Health team will be responsible for managing a range of administrative, logistical and support services for the SRH team, including IAWG staff. There are currently 7 members of the SRH team.

    Essential Job Functions:

    • Strong Administrative support
    • Handle all the administrative aspects of travel and security.  Provide support in staff travel preparation, including coordinating travel requests, security protocols, setting up of ISOS accounts and mobile roaming plans for traveling staff.
    • Work with travel agent to arrange flights, hotels and other travel-related matters for program staff, short term staff, consultants and visitors in compliance with WRC’s policies and procedures.  Assist with the processing of visas required for overseas travel, as necessary.
    • Assist with processing of travel advance request and travel expense reimbursements.
    • Work with Finance department regarding costs, payments and program expenditures.
    •  Work with legal officer and contractors to develop legal agreements for program consultants, ensure agreement with appropriate grant requirements/proposals, and other compliance forms.
    • Perform general administrative duties which will include (but not limited to) printing, photocopying, scanning, mass mailing, database entry, filing, and organizing on-site storage.
    • Assist with conference registrations, membership renewals, and with maintenance of program files and listservs as needed.
    • Set-up teleconferences, in-office meetings, webinars etc. including all A/V needs.
    • Take minutes during calls and meetings.

    Communications/Advocacy:

    • Assist with the planning and execution of IAWG and SRH team events in various locations – some travel may be required.
    • Assist IAWG Digital Media Manager to update content on the website, manage IAWG listserv, and respond to or appropriately direct messages from the “info” and “join us” inboxes.
    • Assist SRH staff with program work including; research, draft letters, statements, and blogs, as appropriate – pending availability and interest
    • Other program tasks as needed.

    Required and Desired Skills:

    • Bachelor’s degree.
    • Previous administrative and support experience.
    • Excellent communication and interpersonal skills.
    • Strong IT and computer skills.
    • Proven track record of coordinating events with minimal supervision.
    • Self-starter. Ability to work independently.
    • Flexible work attitude:  the ability to work effectively in a fast-paced environment with a small staff and to adapt to needs of the program.
    • Roll up sleeves’’ can do personality.
    • Diplomacy.
    • Ability to successfully navigate ambiguity as well as competing priorities.
    • Excellent writing skills – Must be able to draft and edit meeting minutes and communicate with external partners by email.
    • Experience with a basic budget tracking tool and coding.
    • Experience in working in a “matrixed” organization.

    The Program Assistant role is a full-time position, based in the New York Headquarter office.
